LEGAL ADMINISTRATOR, COMMERCIAL REAL ESTATE


An exciting opportunity exists for someone to join a financial institution in Toronto as a Legal Administrator for the Commercial Real Estate division. The incumbent will be responsible for providing daily operations support in the administration and deposit service areas of the Commercial Customer Service Centre in accordance with the Bank's standards, policies and procedures. He/she will support a team of real estate account managers in Ontario and Western Canada by providing world class customer service in responding to internal and external client's requests.


The Senior Administration Officer is accountable to take initiative to drive process change through research, investigation and resolution as well as be able to work independently and as part of a collaborative team.


Responsibilities:

  • Provide efficient services to clients, solicitors, account managers and other consultants on activities related to the administration of commercial loans from the inception of the loan up to repayment
  • Prepare all activities performed on commercial property transactions including discharges, assumptions, payouts, letters of credit, bankers acceptances, insurance, renewals, annual reviews, fees collection and processing, diary reporting and balancing of general ledger account activities and issue all types of statements as requested by clients, solicitors, accountants and other financial institutions approvals in accordance with established policies
  • Prepare all activities performed on term deposits, current accounts and operating lines of credit on the Bank's SIBL system
  • Process financial and non-financial transactions on commercial deposits including new account openings, cheque certifications, deposit activities, issuing of Canadian and United States drafts, issuing stop payment requests, wire transfers, investor remittances, and account closings
  • Prepare monthly reconciliation reports, including Bill 198 requirements, for management review and approval
  • Post financial and non-financial entries such as processing various types of payments, payouts, disbursements, tax remittances. Complete offsetting general ledger transactions to SIBL, ensures daily balancing is accurately completed and processed
  • Assist the management  team with special projects and other tasks to ensure a balanced workload amongst all team members
  • Keep apprised of Company Policies and to ensure compliance with the rules and regulations governing activities conducted under this area of responsibility

Requirements:

  • University or College degree in a related field
  • 2 to 4 years commercial mortgage administration or deposits experience
  • Experience in servicing a commercial real estate portfolio
  • Motivated individual with the ability to work in a fast pace environment
  • Strong communication skills
  • Advanced written skills
  • Good interpersonal and organizational skills
